Manufacturing data can be archived using two different methods:
- Using the “Remove MO” utility provided by GP Manufacturing. MFG Data Archive integrates into Manufacturing’s Remove MO window, and as that window deletes an MO it is captured by MFG Data Archive and moved into the archive database. This utility allows archiving single MOs, or a range of MOs. It is slow because it processes one MO at a time.
- Using the “Archive Processor” utility provided by MFG Data Archive. This utility archives all MOs prior to a specified date. It does not provide a way to select specific MOs or a range of MOs. This utility is much faster because it processes the entire batch of MOs as a group.
The process of using each utility is described below.
To move data from the live company into the archive company your GP User ID must have full read/write permissions on the archive database.
Remove MO Utility
Navigation: Tools >> Utilities >> Manufacturing >> Remove MO
This window is part of GP Manufacturing. When MFG Data Archive is enabled, the title bar of the window will show <<MFG Data Archive ENABLED>>. If you do not see that MFG Data Archive is enabled, do NOT use this window.

Begin by selecting an MO, or range of MOs using the From/To selections at the top of the window. Archiving MOs can take a long time, so start by selecting a small number of MOs so that it can complete the process and you can gauge how long it will take to archive a certain number of MOs. Based on the time it takes to process a small number of MOs (such as 10 or 100), you can calculate how long it will take to process a larger number.
You must mark to include Canceled and/or Close Orders and set a Last Change Date. The Change Date column is in the Work Order Master table (WO010032). You can then open the Restrictions window to see which MOs are included, and to manually mark/unmark manufacturing orders.
NOTE: the Remove MO process will only remove (and archive) MOs that are Canceled and/or Closed, and which meet a number of other checks to ensure they can be removed/archived. An MO can be included in the selection range, and appear as Marked in the Restrictions window, and still not be removed/archived.
After making selections, click the PROCESS button.
MFG Data Archive will take a “pre” snapshot to record statistics on the manufacturing tables.
Then the Manufacturing Order(s) will be archived. The process finishes by taking a “post” snapshot of table statistics.
Lastly, the MDA History window will open automatically. See the MDA History chapter later in this manual.
Archive Processor Utility
Navigation: Tools >> Utilities >> Manufacturing >> Archive Processor
The Archive Processor is part of MFD Data Archive. In contrast to the Remove MO Utility, which processes MOs one at a time moving table by table, this utility processes a batch of MOs at once moving table by table. The Archive Processor is a much faster method when a large number of MOs need to be archived.
Set the archiving Start/Stop Date/Time. Be sure to allow the utility enough time to run. If you start the processor and the Stop Time is already in the past, it will take a start/stop snapshot of the table statistics, but nothing will be archived.
Once it starts archiving a table, the utility will complete a table regardless of the Stop Date/Time. In other words, if it is scheduled to stop at 7am, but it starts a large table shortly before that time, it may run significantly past the Stop Time.
Do not terminate the Archive Processor by forcing GP to close. This may result in corrupt or lost data.
Enter the MO Change Date cut-off. Change Date is found in the Work Order Master (WO010032). Records will be selected for Archiving that are Completed or Canceled, and have a Change Date on or before the date you enter.
Before attempting to archive a large number of MOs, select an early MO Change Date Cut-off that results in a “small” number of MOs. Perform several runs on progressively larger amounts of data until you can calculate a “typical” run time give the size of your database.
Click START.
The Archive MO window starts a timer. It can take up to 1-minute for the timer to makes its first pass at starting the archiving process, so even if the Start Date/Time is “now”, or already in the past, the utility may not start immediately. The window will display “Please wait” until it is ready to begin.
Once the timer has started it will calculate how much time remains until the archiving process starts. The status message at the bottom of the window will count down each minute until the process starts.
CANCEL: Click the Cancel button to stop the process at any time (before archiving as started, or while archiving is running). If archiving has already started, it will finish the current manufacturing table, then stop. Note that when moving a large amount of data it may take some time to complete that step before it can stop. DO NOT TERMINATE DYNAMICS GP PRIOR TO A STEP COMPLETING.
Closing the Archive MO window will also cancel the timer and cancel the archiving process at the next available step.
When the Stop Archiving Date/Time is reached, archiving will stop once it completes the current step. A second statistics snapshot will be taken, and the MDA History window will open (see section MDA History).
Remove Bills Of Material

This window is part of GP Manufacturing.
Refer to the Manufacturing Help for information about how to use the Remove Archived BOMs window.
When MFG Data Archive is enabled the Title Bar of the Remove Archived BOMs window will display: <<MFG Data Archive ENABLED>>.
MFG Data Archive integrates automatically with Remove Archived BOMs and will archive any records that are selected for removal. The entire BOM record will then be available in the archive company.
MFG Data Archive will take a snapshot of the manufacturing table statistics before and after the archival process, then display the results in the MFG Data Archive History window.
Archive Controls
MFG Data Archive adds controls to prevent re-use of archived document numbers. The following document numbers are controlled:
- Manufacturing Order Entry – Manufacture Order Number
- Component Transaction Entry – Pick Number
- Manufacturing Order Receipt Entry – Receipt Number
Mfg Data Archive will ensure that when manufacturing documents are moved to the archive database, those document numbers cannot be re-used in the live environment.
Mfg Data Archive must be registered (have a valid, un-expired registration key) for these controls to be active.
